About the job

As the CEO’s Personal Assistant, you’ll be an indispensable support, managing both professional tasks and personal errands with efficiency and discretion. 

Your role is pivotal in maintaining the smooth operation of our executive’s demanding schedule, enabling them to focus on leading our mission.


Primary responsibilities:

  • Coordinate and manage the CEO’s calendar, including scheduling appointments and meetings.
  • Prepare documents and presentations for business reviews.
  • Handle communication on behalf of executives, including emails, calls, and other correspondence.
  • Prepare reports as needed.
  • Assist in project management, ensuring deadlines and deliverables are met.
  • Conduct research and compile information for business-related initiatives.


Secondary responsibilities:

  • Manage personal appointments and events.
  • Oversee administrative tasks.
  • Arrange breakfast and lunch options during work hours.
  • Prepare welcome packages for new hires.
  • Handle personal and household correspondence.
  • Organize personal events and gatherings.
  • Process bill payments and maintain financial records.
  • Manage administrative tasks related to vehicles.
  • Provide ad-hoc assistance with tasks.
  • Facilitate monthly dinners with entrepreneurs.


  • Proven experience as a Personal or Executive Assistant, especially to C-level executives.
  • Exceptional organizational skills, attention to detail, and ability to prioritize.
  • Strong communication skills and proficiency in productivity software.
  • A proactive, flexible approach to a fast-paced environment.
  • Bachelor’s degree or equivalent experience preferred.
  • Advanced proficiency in English is preferred.
  • Interpersonal skills: Ability to build and maintain positive relationships with colleagues, stakeholders, and external contacts
  • Initiative: Demonstrating a proactive approach to tasks and responsibilities, anticipating needs, and taking appropriate action without constant supervision
  • Professionalism: Exemplifying professionalism in demeanor, communication, and behavior, representing the CEO and the organization in a positive light.
  • Event planning: Skills in organizing events and meetings, from small gatherings to large corporate events.
