About the job

We are looking for an agile, dedicated, and detail-oriented professional to join Brainster as Head of Finance and Administration. This role is ideal for someone with a strong background in finance and administrative operations, who also enjoys working with people and developing efficient internal processes.
As part of a fast-paced and impact-driven environment, you’ll lead a small but mighty team, ensuring operational excellence, financial accuracy, and administrative consistency. You’ll mentor team members, foster accountability, and collaborate closely with other departments to support the company’s growth and strategic goals.

Responsibilities:

  • Lead, mentor, and support the Finance & Administration team through regular 1:1 meetings and team check-ins.
  • Set clear goals, provide direction, and proactively find solutions to improve internal processes.
  • Prepare monthly payroll lists and oversee salary disbursement for employees and external collaborators..
  • Plan and monitor cash flow across bank accounts, ensure timely and accurate transactions, and allocate funds and investments appropriately.
  • Summarize financial data and prepare regular reports for strategic purposes.
  • Coordinate with external accounting and legal partners for accurate and compliant financial and administrative operations.
  • Supervise the preparation and archiving of contracts for employees and external collaborators.
  • Oversee the tracking and maintenance of physical and digital HR files and documentation.
  • Support project implementation teams with administrative and financial tasks, ensuring compliance with internal procedures.
  • Maintain internal trackers for expenses, private health insurance and benefits, and other financial documentation.

Qualifications & Requirements:

  • Minimum 8+ years of experience, associate’s or bachelor’s degree in business, finance, accounting  or a related field; 
  • Prior experience in leading or mentoring a team is mandatory
  • Excellent organizational, analytical, and communication skills.
  • Proactive mindset with the ability to independently drive processes.
  • Proficiency in Excel and financial tools; experience with accounting software is a plus.
